CCRA Private use of the Centre
General Information and Guidelines

Private events can be hosted by CCRA residents only. Sponsorship for any event to be held by others is not permitted including a commercial event.

To apply for a private event please print and fill out this form.

CCRA residents must be on site at all times, this includes set-up, during the event and clean-up.

The south hall on the main floor is available for private events between 10am and 10.30pm. The alarm is set for 11pm nightly.

The use of the center for private events excludes the north hall, balcony, lower level, swimming pool, pool deck and the BBQ.

Signs are available in the front closet for hanging at the entrance doors to inform other residents of the private event.

The centre is a non-smoking building including the balcony and within 9 meters of any exit or entrance to the building.

No pets are allowed in the centre except for service animals as permitted under Ontario regulations.

The centre is available for funerals on weekends when available and is free of charge. Our best efforts will be made to accommodate the time requested for funeral receptions but will be scheduled around booked events that are catered.

Alcoholic beverages may be consumed at the centre, subject to being in full compliance with the Ontario Liquor Licence Act regulations. As host of your event, you could potentially be held legally liable for any injuries or damages that occur due to the consumption of alcohol at your event.
If serving alcohol we strongly recommend that you use a professional bartender or someone who holds a current certificate and having completed the Ontario Smart Serve Training Program. Alcoholic beverages shall not be sold at the centre or provided as part of the table setting at any CCRA event. A CCRA event is defined as any activity that ultimately falls under the protection, control and jurisdiction of CCRA.
Alcoholic beverages cannot be given as a raffle or prize. It is acceptable to use LCBO gift certificates as a prize.

Event decorations must be put up and taken down on the day of the event and removed from the centre when the event is over. No screws, nails, Velcro or tape of any kind are to be used on the walls.
Candles and confetti are not permitted. Do Not put anything on the windows as it will damage the sun filtering film.

Tables and chairs are available to seat 80 people for dining at a private event. Furniture that has been moved for the event must be returned to the original location and not dragged across the floor causing damage. Furniture layout is posted in the kitchen. If you require more chairs from the storage area, Do Not leave chairs stacked at the wall, return them to the storage area when your event is over.

The host is responsible for cleaning the tables, countertops and kitchen before leaving the center.  All liquids must be disposed of in the sink.
All food waste and garbage must be removed when you leave.
Please remember to empty the fridge/freezer prior to leaving.
Check all lights are switched off including washrooms as these lights are commonly forgotten.

The centre will be inspected for damages after your event, the host resident will be responsible for payment for any damages and repairs  caused during the event.

The reasons why it is necessary to have these guidelines for a private event are as follows:

Private Rental for South Hall only, limits the use of the centre and helps keep cleaning costs down.

The north hall is for meetings and the library, not an entertainment space.

The lower level has many games and activities paid for by residents fees, over use of this area by private events will mean the need for quicker replacement of these items.

The pool and deck areas are designated residents only and have many rules issued by Durham Region which include no alcohol or glassware and bottles.

In summary the host resident is responsible for

**Any damages or injuries that arise from the event

**Ensuring that alcohol is not sold

**Clean up and removal of garbage

**Removal of all decorations and return tables/chairs to original set up

**Secure the building when leaving and ensuring ovens, fireplace, TV,       

   lights are switched off and all doors/windows are closed.  

**Ensuring that admission is not charged and donations are not solicited

   in lieu of admission for your event.

**Ensuring that the only designated area of the south hall is used for a 

   private event.

Please remember to treat our centre like you’re own home and for the future use of all residents by keeping it clean and damage free.
This will help with the longevity of tables, chairs, floors, prevent wear and tear and the need to replace large items and keep costs to a minimum.
